Service Indicators - Place or Release (Holds)

Description 

This job aid provides instructions for placing and releasing Service Indicators (Holds) on a student's record in PeopleSoft, including selecting the appropriate indicator, entering required details, and reviewing the impact of the hold.

Instructions

  1. Navigate to “Campus Community” “Service Indicators” “Person” “Manage Service Indicators”.

  1. Use the “Find an Existing Value” tab and enter the “ID” of the student.

    Note: If you do not know the ID, you can search using the first and last name fields or SSN (National ID).

  2. Click “Search”.

  1. The following page will display. Click on the “Add Service Indicator” button. 

  1. The following page will display. Click on the “Service Indicator Code” field and use the magnifying glass icon to view available codes and then select the desired code.

    Note: Security resctricts certain Indicator Codes from view. If you believe you should have access to a specific code that is not populating, please contact your supervisor. 

  1. Click on the “Service Ind Reason Code” field and enter the desired code then press tab or use the magnifying glass icon to view available codes and then select the desired code.

    Note: Depending on the “Service Indicator Code” you select, this field may populate automatically.

  2. The system displays the effect associated with the service indicator that you select, either Positive or Negative.

  1. In the “Effective Period” group box, service impacts associated with a service indicator can be term-based or date-based. They are applied or released based on the start and end information that you enter.

    • Click in the “Start Term” field to enter the desired term, e.g. “2173” then press tab

    • Or click on the magnifying glass icon to select the desired term from the available list. 

    • Or click in the “Start Date” field and enter the desired date then press tab.

    • Or click on the calendar icon to select the desired date from the calendar.

    1. Click in the “End Term” field to enter the desired term, e.g. “2187” then press tab.

    2. Or click on the magnifying glass icon to select the desired term from the available list.

    3. Or click in the “End Date” field and enter the desired date then press tab.

    4. Or click on the calendar icon to select the desired date from the calendar.

  1. In the “Assignment Details” group box, negative service indicators can be associated with an amount of currency.

    Notice that the system populated the “Department” field based on the value entered in the “Service Ind Reason Code” field.

    This field defines the department that is responsible for placing the service indicator (or that requested it be placed) on this individual's record.

  1. Click on the “Reference” field and enter the desired information, then click in the “Amount” field and adjust the amount owed.

  1. In the “Contact Information” group box, information regarding the assigning of service indicator is found.

    • Click in the “Contact ID” field to enter the desired Empl ID and press tab

    • Or click on the magnifying glass icon to select the desired individual.

      The “Contact Person” field will automatically populate with this information. The “Placed Person ID” will populate automatically as well.

  1. Click in the “Comments” field to enter additional information about the service indicator.

  1. In the “Services Impacted” box, information about the impact of the service indicator will be displayed. Click “OK”.

  1. The service indicator can now be seen on the “Service Indicator Summary”.
