Description

Quick Enroll is the process used to assist a student with the enrollment process. The student must already be admitted and term activated for the term in which you are attempting the enrollment actions. 

The student must also have a personal data record and be activated in an academic program.

If a student has a hold on their record there will be an icon that is shown on the top of the page.


Instructions

1.

Navigate to→ Records and Enrollment Enroll Students → Quick Enroll A Student

 Be sure the Add a New Value tab is highlighted.

  • Enter the student ID
  • Enter the academic career into the Academic Career
  • Enter the term of enrollment into the Term
  • Click Add.


NOTE:  It is recommended to not use the search feature (magnifying glass) for the ID, as the search feature will take a long time to load.

On the Class Enrollment tab, click in the Class Nbr field.

If you know the class number the student wishes to enroll in, enter it in the Class Nbr field, e.g. “11094”. Otherwise use the magnifying glass to look up the class schedule and select the class from there. (See the Class Search job aid for assistance).

To register a student for multiple courses in one transaction, click the plus icon   and repeat step 2.

4. If a permission number is required, click the Other Class Info tab. Enter the permission number in the box below the permission section.

5.

To override various enrollment rules, click the General Overrides tab.  Check the box for the appropriate overrides, if necessary.

NOTE: Only overrides that you are authorized to access are available.

General Overrides Legend:


Appointment:  Use to override enrollment appointment.

Unit Load:  Use to override the units enrollment limit for the student.

Time Conflict:  Use to override time conflicts.  DO NOT USE.

Action Date:  Use to override the Action Date (use for courses from a past term or courses that have already started). 

Action Dt:  This box will populate when the Action Date box is checked. 

Requirement Designation:  Use to designate a class as Honors.

Career: Use to override student’s career.  DO NOT USE

Service Indicator:  Use to override all service indicators (holds) that do not allow enrollment.

Requisites: Use to override all Pre and Co-Requisites.

For additional overrides, click the Class Overrides tab and check the appropriate box, if necessary


NOTE: Only overrides that you are authorized to access are available.

Class Overrides Legend:


Closed Class:  Use to override a close class.

Class Links:  Use to enroll a student who is repeating a course from the same term but different session within that term.

Class Units:  Use to override the units of a class (only available with variable unit courses).

Grading Basis:  Use to override the grading basis of the class (ex: change a course from Standard Grading to Pass/No Pass grading).

Class Permission:  Use to override enrollment when the student does not have a permission number (add code).

Dynamic Dates:  Do not use.

Wait List Okay:  Use to add student to Waitlist.

9.

When all class information and overrides are entered, click the Submit button. You will either see Success, Messages, or an Errors note on the Quick Enrollment page.  

Success:  The registration action was successful.  No further action necessary.

Messages:  The registration action was successful and there is a Message associated with your enrollment. (These can be warnings that the course is subject to repeat rules, if the student is repeating the course, etc. Click on Messages to see message).

Errors:  An error has occurred and the enrollment request was not processed. To review the details of the error, click on Errors. The student may need an override or permission to register for the class. The appropriate box will need to be checked to override the error.

10.To verify all enrolled courses for the term, click on the Study List link at the bottom of the page.  To return to the Quick Enrollment page, click the Cancel button.
