Issuing a Student ID Card

Instructions

This guide explains how to issue an Undergraduate Student ID card and the rules and requirements to obtain an ID card.  Continuing Education only students may obtain a CE ID card at a CE office location.

Students must:

  • Be admitted, term activated, enrolled and paid mandatory fees for at least one class to be eligible for an ID card. Note: optional fees such as a parking permit, Student Representation fee or ASB membership are not required to be paid to be eligible for an ID card.
  • If a student has a negative service indicator on their record an icon appears at the top of the page and the student may not be eligible for a Student ID card.

NOTE:  The ‘Delete’ Button is based on User Security.  See Step 5 for details.

1.

Navigate to → SDCCD Development → Customizations → Student Records → College ID Cards

  •  Enter the student’s ID number
  • Click Search

The student’s name, ID number, Date of Birth, Career, Ethnicity and Gender appear in the page header.  Use this information to ensure you have accessed the correct student record.

Review the College ID Card Box for the following items:

  • Number of ID cards Issued—a student who has never been issued an ID card, the number will be 0 (zero).
  • If any previous ID cards have been issued, the number of cards and Card Printed Date will be populated.

Review the Term box which displays the following items:

  • Current Term
  • Approved to Print Indicator (Y/N)
  • Units Enrolled
  • Balance Due

Click the Issue New ID Card


NOTE: Students who have paid all mandatory fees in are eligible for an ID card even if they have an optional fee outstanding, i.e. a parking permit.


NOTE: Replacement fee is no longer enforced; ID Card Paid box is grayed out.

The page returns with the fields updated:

Issued field updated to 1

Card Printed Date equals the current date


Note: If there is an ID card printer or computer problem and the card cannot be issued, see the Delete a Student ID Card section of this Job Aid.

To re-issue an ID card follow step 2 above. The page displays with the previous number of ID cards issued and most recent issue date.

Click the Issue New ID Card button.  The issue count will increase by one and the Card Printed Date will update to today’s date.

5.From the College ID Card page, click on the Delete button.

Click the Yes button to confirm the deletion of the ID Card.

Once the ID is deleted, the Issued number will decrease by 1.
