Business Process: Updating Student Program Plan Stack (CPP)

Navigation:
Log-in to the Faculty Portal. From the Faculty Portal click on the Counselor Center tab. This will land on the Student Success search page.
Instructions:
This Job Aid will go over the process necessary to update a student’s Career Program Plan (CPP) stack.

1 | From the CE Faculty Portal, under the Faculty Quicklinks, click on the Counselor Center link. The Student Success search page will open. |

2 | A. Search by the Student ID number or by using the Last Name and First Name fields. B. Include History check box should be checked by default. If it is not, check the box. C. Click the Search button. |

3 | A. If the student is active in multiple careers, select the appropriate career row for the student. B. If the student is active in only one career, the Student Success page should open immediately to that career. |

4 | A. If the student is new and/or without SSSP services for a CE or CEHS career, there will be no plus button to add a new row. Review student’s information and update as appropriate. B. If the student is continuing/returning, click the plus button to add a new row. Review student’s information and update as appropriate. Reminder: Be sure to click the Save button at the bottom of the page to update the SSSP page before navigating to another tab. Failure to click save button will result in changes not being saved! |

The College of Continuing Education began using the CCCApply Noncredit Admissions Applications for both Continuing Education and Continuing Education High School students in Fall 2023. The CCCApply application process requires CCE to Discontinue students who have not attended the College of Continuing Education for at least 3 primary terms (Fall and Spring; not including Summer). You will now see two Statuses on the CPP; Active in Program and Discontinued. It is very important that you confirm a student’s status before updating the Student/Program Plan page! |
Student is Active
If the student is ACTIVE, you can proceed with making updates to the CPP stack. Continue to Step 6 of this job aid.
Student is Discontinued
If the student is DISCONTINUED, do not update the Student Program/Plan page! Let the student know they need to re-apply for Admission to CCE. You can find the SDCCE CCCApply Application for Admission here.
It is very important that a Plan Change (PLNC) row is not added on top of a Discontinued (DISC) row. A Plan Change row will not reactivate a student! An example of this data entry error is shown below.
If a Plan Change row is inadvertently added for a student in Discontinued Status, this may prevent the re-admission application from loading properly and will delay a student’s admission to CCE.

7 | On the Student Program tab: A. Effective Date: The effective date will automatically populate to the current date and does not need to be changed. B. Program Action: Select or type PLNC (Plan Change). C. Requirement Term: Do not change on this tab! No other adjustments are needed on this tab! Important: Do not click the OK button! This will revert the page back to the SSSP page, and a new effective dated row will be required on the SSSP page to return to the Program/Plan stack. |

8 | Click on the Student Plan tab, then click the View All link to see all current active program plan codes. Reminder: Students with more than 10 program plan codes should have their program plan stack re-evaluated. A student with more than 20 active program plan codes will cause system and process failures! |

9 | To add an Additional/New Plan Code: A. Click on the plus sign to add a new row. B. Academic Plan: Select or Enter the academic plan code. ***Important*** Ensure only Program/Major plan codes are used. Course completion plan codes ending in CC (ex. 4FDNT625CC) should never be used! C. Plan Sequence: Evaluate the plan code sequence.
D. Declare Date: will default to the current date. E. Requirement Term: Select or enter the current term value. F. Advisement Status: Select ‘Include’ if you want this program to appear on the student’s Ed Plan.

10 | To Change a current Plan Code to a different Plan Code: A. Select or enter the Academic Plan Code. This will overwrite the new plan code over the old plan code. B. The Plan Sequence will remain the same as the previous plan. C. The Declare Date will default to the current date. D. The Requirement Term will default to the Admit term on the Program tab. Evaluate if the term needs to change. E. Advisement Status should be set to Include.
Reminder: Do not add plans to the student’s program/plan stack for What-If purposes! |

11 | To Delete a Plan Code: A. Click the - button to the right of Academic Plan code you wish to delete. B. Click OK button. C. If necessary, evaluate the plan sequence numbers.
