Cleared4 User Guide

The San Diego Community College District is using Cleared4 to facilitate Student COVID-19 vaccination and testing requirements. This guide is for College staff assisting students with COVID-19 vaccination requirements.

Once you login, you will be presented with the admin dashboard:

You will be primarily using the “Users” section in the left navigation.

College staff will only use the Cleared4 admin platform to provide assistance to students regarding COVID-19 vaccination and testing requirements and verifying testing results.

If you need to search for a specific student you can click on the dropdown to search by two methods:

  • User Name - Student’s Name

  • User ID - Student ID

  • Email - Email address we have on file

Once you find the student click on their name in the search results below. From here you’ll be brought to their main dashboard. Important area is highlighted which indicates the student’s “Health Pass” and “Health Status”

Health Passes are as follows:

  • Green Pass - Student is not fully vaccinated and/or has an exemption on file. Student has met testing requirements.

  • Blue Pass - Student is considered Fully Vaccinated

If you need to verify a student’s COVID-19 test, scroll down to the testing information section:

Any COVID-19 tests provided by provider C4API is through Biocept and does not need verification. If the student uploads a Covid-19 test from a third party provider, you will see the provider read “User”

Click on the “Edit” button to bring up the third party tests that require verification (status of Pending). you will be brought to the verification screen as shown below:

Here the key is to verify three items:

  1. Test has the student’s name

  2. Test has the date the sample was collected

  3. Test result is visible.

If any corrections are needed be sure to update the appropriate fields. Key field is the Sampled Date as that’s the date that will drive how long the student’s Green Pass lasts (7 days since test).

  • If the student’s test result is not legible or does not meet requirement, click on Covid Result of Inconclusive and hit “Reject.”

  • If the student’s test result matches the documentation, then just click on “Accept”

  • if the student submitted the same test result multiple times, only verify one and choose “Inconclusive” and “Accept”

Once you accept it the system will update the student’s pass depending on system rules.

The District Office will verify vaccination cards, you do not need to verify vaccine information only COVID-19 test results.

Students are immediately notified by SMS and/or Email once results are verified.
