Description

Student Test Scores are loaded from batch processes. This job aid is designed to assist users entering test scores by hand.

Certain test scores are used to create Student Milestones that can be used in Course Requirements that control enrollment access to certain classes.  The process to convert test scores to milestones is every hour.  The test score entry is the first step to establish these student milestones.

The test scores used to create milestones are:

  • CCCAPPLY - CCCApply (should not be used for manual processing)

  • PLCASST - Placement Assistant

  • FHSPLCMENT - Foreign HS Placement

  • ELAC - English Language Acquisition Assessment

  • OTHERACC - Other Assessment Test in CA CC

Other tests such as the SAT, ACT, EAP, etc are processed at the district office.

You can view Student’s Milestones at:

Records and Enrollment > Enroll Students > Student Milestones

Navigation:  Records and Enrollment > Transfer Credit Evaluation > Test Results

1

Begin by navigating to the Test Results page.

Navigation:  Records and Enrollment > Transfer Credit Evaluation > Test Results

Enter the Student ID number and click Search.

2

Review the Test results for the student.

When the student is displayed, they may or may not have test results posted.  If they have test results posted, only the first test will display.  Use the arrows on the Tests row to see all test results.

Click the arrow    to view the next test result or click View All to view all test results for the student.

3

To begin entering a test score that does not yet exist on the student’s record, use the Test ID field to enter the test you are recording.  Enter the following information:

  • Enter the Test ID by using the magnifying glass to select the Test ID you want to enter.

  • Enter the Test Date. The value you enter here populates the corresponding field in the bottom region (Test Components) of the page.

  • Under the Component field, use the magnifying glass to select the test component you want to enter. Values for this field are determined by the test ID that you enter.

  • Enter the Score.

  • Enter the Data Source—select School. This is used to specify how this test information was reported.

  • Enter the Academic Level—select Unknown.

NOTE: If you are adding another component for a test the student already has completed, locate that test and use the plus sign

in the Test Components section to add another component.  Components may be repeated, as long as the test date is different.

4

Once you enter in all the test components, click on Save.  The system will process test results every hour and load them as milestones.
