Adding Milestones

Business Process: Add skill level using student milestones

Navigation:

Login to Records and Enrollment -> Enroll Students -> Student Milestones. 

Instructions:

This Job Aid will outline how to add a milestone (skill level) to a student’s record. Note this should only be done if the student needs to register in the class immediately.  Otherwise staff should enter data as a "Test Result."  You still must enter in the Test Result in order for the student to get assessment credit for student success.

Click on  and   navigate to Records and Enrollment ->Enroll Students -> Student Milestones

To find the student, use “Find an Existing Value” and use the search criteria provided.  Enter the Student’s ID.

 

NOTES: Always perform a search before adding milestones.  If no milestones exist for the student, the message “No matching values were found” will appear.  Continue to the Add a new Milestone” section for directions.  If

If a search confirms a student does not have any milestones, a new one can be added. 

 

Click the Add a New Value tab.  Enter the following information:

  • ID

  • Academic Institution—SDCCD should default

  • Academic Career

  • Academic Program—select the appropriate option by clicking on the magnifying glass.

Enter the following information when posting a new milestone:

Effective Date—will default to the current date.  Leave as the current date unless the term for which the milestone needs to be effective has begun.  If the term has started, use the Best Practice date for that term.

  • Best Practice Dates: 

    • Spring 01/01/year

    • Summer 06/01/year

    • Fall 08/01/year

  • Milestone—select the appropriate milestone by clicking on the magnifying glass.

  • Milestone Level—select the appropriate milestone level by clicking on the magnifying glass.

  • Milestone Complete—at the bottom of the page, pull down the Milestone Complete list and select the appropriate status.

WARNING: When adding multiple milestones at the same time, do NOT save after the first one.  The system will not allow another milestone with the same date after saving.  If you do save between Milestones, you will need to add a new Effective Dated row (1st plus sign) with a new date and then click to add the new Milestone (2nd plus sign).

If adding more than one milestone to the same effective dated row, click on the under the Milestone Detail header and complete step 4 again. The Milestone Nbr will increment by 10.

If adding an additional milestone with a new effective date, navigate to the Student Milestones page and click on Find an Existing Value.  Look up the student by entering their ID number or last and first name.

  • Add a new Effective Dated row by clicking on the top plus sign. If necessary, adjust the effective date to the term in which the milestone needs to be active. For this example, the current date will be used which makes the milestone effective spring 2018 and beyond.

  • Then click the second plus sign to add a new Milestone Detail

  • Enter the Milestone.

  • Enter the Milestone Level.

  • Select the Milestone Complete status from the drop down menu.

  • Click Save.
