Description

This Job Aid illustrates how to change a student’s refund from Direct Deposit to a Paper Check for a non-Financial Aid refund.

Confirm student’s refund is non-Financial Aid. Navigate to Student Financials -> View Customer Accounts…
Verify that a refund is pending in the student’s account. Click “Account Details”.

In the screenshot below, the “Details” show a Mesa Office Payment. Click “Receipt Details”.

In the screenshot below, under “Tender Details”, it shows the student paid Cash. This is a non-Financial Aid refund.

Navigate to the Student Refund page. Student Financials -> Refunds -> Student Refund…

Click “Search”

Enter the Student’s ID into the “ID” field. Tab out of the field. The student’s refund information will populate into the page.

Confirm the following:
• Refund Method = “Accounts Payable”. [NOTE: If this were a credit card refund, the Refund Method should = “Other”. Use the drop-down menu to change the field to “Other”.]
• The box for the refund is check marked.

IMPORTANT: Change the “Format” field from “D” (D=Direct Deposit) to “P” (P = Paper Check)

Select the appropriate “Refund Item Type” and “Address Type”. Click “Post Refund”. The button will grey out.
