Generating Letters in Maxient

This section walks you through the process of generating a letter in Maxient. In order to create a letter, it must be tied to a case created within Maxient.

The first section is the Letter Draft Screen, here you will be able to preview the email to be sent and add/edit any text you wish. Most of the text will be auto-generated for you using our templates.

Once you are done, click on Next to go to section 2 - Select Copy Recipients.

This section allows you to add certain people as CC on a request.

Once you have added your CC (or if you don’t have any) click on Next to go to section 3 - Add forms and attachments.

Add forms and attachments

Here you will be able to add any attachments to the email. In some cases, this would reference a Board Policy or Administrative Procedure that is associated with the email you are sending.

Attachments are critical for emails associated with specific procedures such as Student Conduct Issues, Grade Challenges, or Title IX cases.

If you wish to upload an attachment, you can do so at the end of the form.

 

Preview, send, or save

Here you will be able to preview the final version of the email. I would recommend working backwords (Letterhead/Margins) then (Email content) then (Options).

Letterhead/Margins

Here you will be able to pick your appropriate letterhead and adjust the margins if needed. Once you’re ready, click on the “Preview it” button to view your email.

Email Content

Here you will be able to change who the email is coming from as well as adjust the subject. The text of the email is configuration and is set by the Maxient Administrator. If you wish to make changes to this, please contact your Maxient Administrator Victor DeVore at vdevore@sdccd.edu

Optionset

Finally you have the options. Here you can select whether to send the email normally (Standard Delivery) or add a tracking component so you are aware when the recipient receives the email. This is similar to certified mail with the USPS.

Verified Delivery is important for issues that are time sensitive such as Student Conduct and Grade Challenges. Please consult the appropriate procedure to determine the best course of action.
